For most leagues, the
weekly process of scheduling umpires is a major effort. It can involve
hours on the phone, sending email, making individual contact, to assure
that the league's games are adequately covered. Our Umpire Scheduler is
designed to help relieve that workload. It allows your umpires to search
the schedule online at their convenience, and request games that best suit
their needs. Not only does this reduce your own labor, it gives your umps
more control over their own schedule.
Key features include:

MySQL Database - Schedule and
user databases are stored in MySQL, one of the most popular and
stable databases available. Data files are easily created
in a spreadsheet on your computer, then uploaded to our server as either Excel
or comma-delimited text files.

Password Protection -
The database is password protected. You may offer a single universal login, or individual access as
desired. You may also offer the schedule publicly if you want,
without permission to modify the database.

Fully Searchable
- The schedule may be searched by division, date, game
time, week day, field, and team or official's name. All users may limit searches to
only available slots. Administrative users have more search options,
such as games with unapproved requests, or requests submitted within recent time periods.

Access Restrictions - If desired,
you have considerable flexibility in restricting schedule access by
user, game category, or game level rating.

Two Methods of User Administration:

Basic
- This method is best for leagues that want to make everything as
simple as possible for everyone. Typically, umpires share a common
login and just enter their names in the assignment slots they
desire. Administrators review and approve the requests.

Advanced
- This method requires umpires to register online, and login with
unique username/password combinations. This allows the system to
send email confirmation when assignment requests are approved, and
if your league is tracking umpire/team points, allows the system to
accurately track umpire activity and apply appropriate credit for
games completed.

Umpire and
Team Point Calculations
- The database will generate umpire activity logs,
available for display online, as an Excel spreadsheet for saving directly
to your computer, or as comma-delimited
text. If your league has a program for
tracking umpire and/or team points, you may specify math values to
be credited for game completion, and track these on an individual
basis, as well as on a weekly and seasonal basis for both umpires and
the teams they represent.

Weekly Game Limits - If desired, you may enforce separate weekly
limits for both Plate and Base umpire assignments.

Printable Schedule - You may view your schedule in a basic
online format for easy printing, so you will have a copy for display
on game day at the fields.

Immediate
Access - All open assignments are displayed online as text boxes
for immediate name input. Assignments which are already filled
display the person's name in that slot.

Color Coded Validation -
Unapproved requests are printed online in blue,
approved requests in black, so your game officials will know
the status of their requests.

Flexible
Assignment Slots - You may print only one assignment slot
per game (for the Plate umpire), or up to three additional slots for
Base Umps.
These options are specified on a game-by-game basis.

Game
Priority - If desired, you may identify certain games as
priority. Priority games are identified online by a different
colored header in the record display, so your umpires will
know to give them greater attention.

Regular
Backups - Automatic backup
copies of your data are generated daily prior to the first
modification of the database. They are also created each time you
upload or empty the database. Copies of these backups are available online
at any time.

Administrative Delegation - If
your league has more than one scheduler, you may divide
schedule responsibilities among them with flexible administrative access
controls.

Email Notification
- At your option, specified administrators may receive automatic
email notes advising of new schedule requests. These notes identify
the game, and the person making the request. You may also specify that your umpires receive notification when they
are removed from an assignment, as well as reminder emails a day or two prior to game day.

Integrated Schedule/Standings module
- Allows you to make your league's schedule publicly available in an easy to use, searchable format. Easily enter and
manage game results. Team standings are automatically calculated and displayed.

Online Administration - All aspects of schedule
administration is done online. We've designed the system to
be as simple as possible, without sacrificing flexibility and
control.
